The Role

  • Undertake all aspects of administration work within the department including photocopying, scanning and filing of confidential documents, maintaining company database, and dealing with customer/client queries via telephone and email under the supervision of the Senior Administrator/Admin Team Leader
  • Maintain a high standard of organisation and in conjunction with nursing/medical staff, manage diaries and clinics on their behalf, including arranging follow up appointments and vaccination programme’s in line with recall schedules. In the event of cancelled appointments or clinics ensure clients are notified and new appointment times given
  • To maintain confidential health records using the Occupational Health database and carry out on going quality control of recorded information using the e-OPAS system ensuring the database is accurate and up to date at all times
  • Exercise initiative and prioritise all aspects of own work and assist other administration staff in prioritising their work
  • As the first line of contact for service users, internal and external, exercise discretion and initiative as appropriate, being courteous at all times
  • Liaise and co-operate with other staff in sharing administrative duties where necessary. e.g. to cover short periods of absence due to holiday or sickness
  • Receive all incoming mail, execute own areas of responsibility, sort and distribute remainder to relevant personnel
  • Ensure all work is carried out according to the requirements of Access to Medical Records Act, Data Protection Act and Information Governance


Person Specification

  • GCSE Maths and English (or equivalent)
  • Excellent IT skills and experience of database management
  • Accurate data entry and attention to detail
  • Pleasant and helpful telephone manner
  • Experience of diary management
  • Good communication and interpersonal skills
  • Build relationships and liaise effectively with managers supporting clinical staff to maintain good communications pathways and service efficiency. Developing good personal relations strategies for the service users
  • Ensure good communications with client employees, ensuring they are aware of review appointments and contact details
  • Work within the agreed company policies
  • Awareness and involvement as required in auditing processes and assessment
  • Effective and efficient interpersonal skills are avital part of the role. The post holder will maintain good telephone relationships and may have to deal with anxious and distressed callers with tact and discretion
  • Knowledge of Access to Medical Records Act, Data Protection Act and Information Governance would be desirable but full training will be given
